What Is an AI PBX? AI Phone Systems vs Virtual and IP PBX

An AI PBX adds a voice agent that answers calls in natural speech to a business phone system. How it differs from virtual, IP and cloud PBX and AI call centers.

An AI PBX is a business phone system that adds an AI voice agent, which answers calls in natural conversation, to the functions of a private branch exchange (PBX): numbers, routing, IVR menus and queues. The voice agent resolves routine requests on its own and hands calls that need a person to a team member along with a summary of the conversation. One example from Turkey is Speakline, which offers this approach together with call center features on a single platform.

A note on terms for Turkish readers: in Turkish the word for a phone system, santral, also means a power plant, which is why Turkish searches for "yapay zekâ santral" (AI PBX) mix telephony and energy results. This article is about telephony only. Below we explain how an AI PBX differs from a virtual PBX, IP PBX, cloud PBX, call center software and an AI call center, who it suits and how to choose one.

Types of phone system at a glance

These terms are often confused. The real difference is who answers the call first, and how much of it they resolve.

Type Where it runs Who answers first Typical use
Traditional PBX Hardware in the office Receptionist or staff Internal transfers, small offices
IP PBX Office server or cloud, over the internet (VoIP) Staff or a keypad IVR Multi-line offices, remote teams
Virtual PBX / cloud PBX The provider's cloud Staff or a keypad IVR A phone system without hardware, multiple sites
Call center software Usually cloud Queue and agents (ACD) Heavy inbound and outbound traffic
AI PBX / AI call center Cloud An AI voice agent, then agents if needed Resolving routine requests, answering 24/7

"Virtual PBX" and "cloud PBX" are mostly used interchangeably: phone system functions run on the provider's infrastructure instead of hardware. See our definition of a virtual PBX for more. IP PBX describes a technology; it may be a server in your office or run in the cloud. The difference between an AI PBX and an AI call center is mostly scale: the first focuses on answering the phone for small teams, the second on a full call center with queues, an agent desk and reporting.

How does an AI PBX work?

A call to an AI PBX goes through these steps:

  1. The call comes in. The caller dials the number they know; the operator delivers the call to the cloud platform over a SIP trunk or by forwarding.
  2. The call flow decides where it goes. Business hours, holidays, the number dialled or a short menu choice determine the route. If the call will be recorded, the KVKK notice plays at this point.
  3. The voice agent talks. Speech recognition turns the caller's voice into text, a language model works out the request and drafts a reply, and text-to-speech speaks it. While answering, the agent draws on the knowledge base the business has approved and on connected systems such as a calendar.
  4. It hands over if needed. If the request is outside the agent's remit, the call moves to the right queue with the details collected and a summary, and an operator picks it up from their desk.
  5. The record is closed. The transcript, summary and outcome are saved and, if you choose, sent to your CRM or business systems.

What are the limits?

An AI PBX does not resolve every call and should not try to. Medical, legal or financial advice, payments and identity checks, and emotionally difficult conversations should stay with people. Language models can produce a plausible but wrong answer to a question the knowledge base does not cover (hallucination); the safeguard is to instruct the agent clearly to speak only from approved information and to hand over when unsure. Finally, changing the system does not change your legal obligations: informing callers about recording and following consent rules on outbound calls remain the business's responsibility.

What does an AI PBX do differently?

  • It answers by talking. A caller says "I'd like an appointment tomorrow afternoon" instead of navigating a menu. We explain how voice agents work in a separate article.
  • It finishes the job. It gives information, books or reschedules appointments and logs requests, instead of just routing the call.
  • It hands over with context. When a person is needed, the call moves to an agent with the details collected so far and a short summary (warm transfer).
  • It answers after hours. Calls at night or on holidays are answered and requests recorded, instead of ending at an announcement or voicemail.
  • It leaves a record. The transcript, summary and outcome of each call can be reported and sent to your CRM.

Who is it for?

An AI PBX makes the biggest difference when:

  • You answer the same questions all day (opening hours, address, prices, order status).
  • Appointments or reservations make up a large share of your calls: clinics, beauty salons, car service centres, restaurants and hotels.
  • Calls are missed after hours or at busy times.
  • Call volume swings sharply during campaigns or the busy season; a voice agent can answer several calls at once, with line capacity and configuration setting the limit (concurrent calls).
  • You want information gathered on the phone to flow into your systems instead of being written down by hand.

If most of your calls are internal transfers ("Could you put me through to Ahmet?") or every call is a long expert consultation, a well-configured virtual PBX may be enough. To see answering machines, IVR and AI side by side, read our business phone comparison.

How to choose

Ask these questions when you evaluate an AI PBX; get the answers in writing and check them with test calls:

  1. Does it really understand Turkish? Judge test calls with your own scenarios, not demo recordings. Our 20-point test checklist was written for exactly this.
  2. Does it work with your current number? Ask about forwarding, connecting over SIP (BYOC) and porting; details in our number connection guide.
  3. How does handover to a person work? Are the queue, the agent screen and the information passed on at handover part of the product? Do operators work in the browser, or do they need a separate app?
  4. How does it meet KVKK requirements? How are the notice before call recording, storage of recordings and access to them handled?
  5. What reporting and integrations are there? Can transcripts, summaries and call outcomes reach your CRM via API or webhook?
  6. Are outbound calls checked for consent? If you plan reminder or campaign calls, ask about İYS checks and calling-hour limits.
  7. How are costs made up? Ask for subscription, usage and line costs to be set out separately, in writing.

AI PBX in Speakline

We build Speakline in Turkey for businesses that speak Turkish. Our voice agents answer calls in Turkish, respond from your knowledge base, and book and reschedule appointments; when needed, they hand the call to a queue in the call center with a summary of the conversation. You design the call flow with business hours, IVR menus and routing rules; your operators work from a browser-based desk, and supervisors can monitor calls live. You can port your existing number or connect the line you have with your operator via BYOC. To talk through a setup for your own calls, get in touch.

FAQ

Frequently asked questions

What is the difference between an AI PBX and a virtual PBX?

A virtual PBX delivers phone system functions such as numbers, routing, IVR menus and queues from the cloud; calls are still answered by a person or a keypad menu. An AI PBX adds a voice agent that talks with callers in natural language. The agent answers questions, completes tasks such as bookings and, when a person is needed, hands the call over with a summary.

Do we have to remove our current PBX to move to an AI PBX?

No. You can keep your current PBX and start by sending only after-hours or unanswered calls to the AI side. Connecting the line you have with your operator over SIP (BYOC) or porting your number are permanent options you can consider once the results are clear. A gradual move lets you see results without disrupting your team's day.

Is an AI phone system a good fit for small businesses?

It suits small businesses whose calls are largely repeat questions and rule-based requests such as appointments and reservations, especially if calls are missed after hours or at busy times. If you get few calls and most are long advisory conversations, a well-configured virtual PBX with voicemail may be enough.

Are a smart PBX, an AI PBX and an AI phone system the same thing?

On the market these names usually describe the same idea: a phone system with a voice agent that answers calls in natural conversation. Some products, however, use smart PBX for advanced routing or an IVR that accepts voice commands. When you evaluate a product, look past the name to whether it can hold a free conversation with callers and which tasks it can complete.
