Payment Reminder Call Scripts: 8 Polite Templates

8 polite payment reminder call scripts: before, on and after the due date, instalments, payment plan handover, payment confirmation, wrong person and disputes.

A payment reminder call is a short outbound call that politely reminds a customer of an upcoming or overdue payment, asks whether it has been made and, if there is a problem, passes the matter to the right person. This pack contains 8 ready-to-use scripts: a first reminder before the due date, a due-date reminder, an overdue reminder, an instalment reminder, a payment plan offer, a payment confirmation, a wrong-person call and a dispute. All of them follow the same principles: inform without blaming, say that the reminder can be ignored if the payment has been made, and leave every decision about money or disputes to a member of staff.

In collections, tone decides the outcome more than anything else. That is why the scripts contain no threats, pressure or scare tactics; the assistant never approves a payment plan, never negotiates the amount and never takes card details over the phone. Payment plans, disputes and complaints call for handing the call to a person along with a summary; we explain how in the warm transfer entry and in our article on warm transfers from AI to human agents. In Speakline you can run these flows as an outbound call campaign: the Turkish voice agent calls your list during the hours you set, logs the outcome of each call and hands the call to an operator with a summary when needed. The Turkish version of this pack is written for Turkish speech engines, with amounts and dates spelled out.

If you call customers in Turkey, the commercial messaging rules provide consent exceptions for reminders about an existing contract or debt, but adding a campaign or a new service to the call can change that assessment. Ask a legal adviser about your situation, and see the İYS entry and our guide to İYS consent for AI phone calls. Debt information is personal data: never mention an amount or a due date before you are sure you are speaking to the right person, and never leave details in a voicemail. If you record calls, keep the recording sentence in the opening (KVKK and call recording).

First reminder: before the due date

Opening
Assistant: Hello, this is the AI assistant calling on behalf of [Business name]; this call is recorded. Am I speaking with [Customer name]?

Verification
Assistant: Before I share any account details, I need to run a quick check. Could you tell me your registered [Verification detail]?

Reminder
Assistant: Thank you. Your payment of [Amount] for [Service or contract name] is due on [Due date]. We just wanted to remind you. If you've already paid, please disregard this reminder.

How to pay
Customer: How can I pay?
Assistant: You can pay by [Payment methods]. Shall I make a note for the payment details to be sent to you by [Written channel]?

Already paid
Customer: I paid yesterday.
Assistant: Thank you, it may not have reached our system yet. I've made a note, and our team will check.

Handover
Customer: I have a question about the amount.
Assistant: Our team can explain the details of the amount. I'll put you through now, please stay on the line.

Closing
Assistant: Thank you for your time. Have a good day.

The only aim is to remind; treat the customer as someone who needs information, not as a debtor. Never take card numbers or other payment details over the phone; direct the customer to your business's secure payment method.

Due-date reminder

Opening
Assistant: Hello, this is the AI assistant calling on behalf of [Business name]; this call is recorded. Am I speaking with [Customer name]?

Verification
Assistant: Before we continue, could you tell me your registered [Verification detail]?

Reminder
Assistant: Thank you. Your payment of [Amount] for [Service or contract name] is due today. If you've already paid, please disregard this reminder.

Will pay today
Customer: Yes, I'll pay today.
Assistant: Thank you, I've noted that. You can pay by [Payment methods].

Can't pay today
Customer: I won't manage it today.
Assistant: I understand. Which day are you thinking of paying?
Customer: [Date mentioned by the customer]
Assistant: Noted, I'll record [Date mentioned by the customer]. If our team needs to approve that date, they'll get back to you.

Handover
Customer: Could I split the payment?
Assistant: Our team looks at payment options. I'll put you through now, please stay on the line.

Closing
Assistant: Thank you, have a good day.

Make the due-date call before midday so the customer still has time to pay the same day. Record the date the customer mentions as a note, not a promise; if further approval is needed, the team gives it.

Overdue reminder: a polite follow-up

Your payment of [Amount], which was due on [Due date], doesn't show in our records yet. We thought it might have been overlooked, so we wanted to remind you. If you've already paid, please disregard this reminder.

Payment date
Customer: I forgot, I'll pay this week.
Assistant: Thank you. Which day are you planning to pay?
Customer: [Date mentioned by the customer]
Assistant: Noted. You can pay by [Payment methods].

Having difficulties
Customer: Things are difficult for me at the moment.
Assistant: I understand, and thank you for telling me. Would you like to talk to our team about a solution that works for you? I can put you through now or arrange for them to call you at a convenient time.

Says they've paid
Customer: I've already made this payment.
Assistant: I'm sorry, there may have been a mix-up. I'll put you through to a colleague who can check, please stay on the line.

Closing
Assistant: Thank you for your time. Have a good day.

The tone doesn't change after the due date: saying "it doesn't show in our records" instead of using words that blame also protects customers who have paid but whose payment hasn't come through yet. Always hand over a customer who says they are having difficulties.

Instalment reminder

The [Instalment number] instalment of your [Service or contract name] payment plan, [Amount], is due on [Due date]. If you've already paid, please disregard this reminder.

Remaining instalments
Customer: How many instalments are left?
Assistant: After this one, you have [Remaining instalments] instalments left. The last one is due on [Final instalment date].

Automatic payment
Customer: Can I set up automatic payment instead of getting a call every month?
Assistant: I can put you through to our team about automatic payment options. Shall I transfer you now, or would you prefer them to call you later?

Change of date
Customer: Could we move the instalment date to the end of the month?
Assistant: Our team reviews changes to instalment dates. I've noted your request, and they'll get back to you [Callback time].

Closing
Assistant: Thank you, have a good day.

Customers often ask how many instalments are left; add the payment plan to your contact list as fields so the assistant can read them out. Fill [Instalment number] with a word such as "third".

Payment plan offer: handover to a person

I'm calling about your payment of [Amount]. If you've already paid, please disregard this reminder.

Can't pay in full
Customer: I can't pay the full amount right now.
Assistant: I understand. If paying in one go is difficult, our team can talk you through payment plan options. Would you like me to put you through to a colleague?

Transfer now
Customer: Yes, please.
Assistant: I'll transfer you now. I'll pass on what we've discussed, so you won't need to repeat yourself. Please stay on the line.

Team unavailable
Assistant: Nobody on the team is free right now. Which day and time would you like them to call you?
Customer: [Preferred time]
Assistant: Noted, our team will call you [Preferred time].

Declines
Customer: No need, I'll pay.
Assistant: Thank you. You can pay by [Payment methods].

Closing
Assistant: Thank you, have a good day.

The assistant never sets the terms of a payment plan or makes promises; it only says the option exists and hands the call over. Pass on a summary when you transfer, so the customer doesn't have to explain everything twice.

Payment confirmation: payment received

Opening
Assistant: Hello, this is the AI assistant calling on behalf of [Business name]; this call is recorded. Am I speaking with [Customer name]?

Verification
Assistant: Before we continue, could you tell me your registered [Verification detail]?

Confirmation
Assistant: Thank you. Your payment of [Amount] made on [Payment date] has reached us, and your account has been updated. We're calling to say thank you.

Receipt
Customer: Could I have a receipt?
Assistant: Of course. I've made a note for your receipt to be sent to you by [Written channel].

Next payment
Customer: When is my next payment?
Assistant: Your next payment of [Next amount] is due on [Next due date].

Amount difference
Customer: I paid more than that.
Assistant: Our team will need to check that. I'll put you through now, please stay on the line.

Closing
Assistant: Thank you, have a good day.

A confirmation call isn't required, but it reassures customers, especially for bank transfers that take time to show. Don't add a promotion to a thank-you call.

Wrong person: closing without sharing debt details

Wrong number
Assistant: Hello, this is the AI assistant calling on behalf of [Business name]; this call is recorded. Am I speaking with [Customer name]?
Customer: No, you've got the wrong number.
Assistant: I apologise for disturbing you. I'm removing your number from our list. Have a good day.

Knows the person
Customer: That's my father. What's this about?
Assistant: I understand, thank you. I can only discuss this with [Customer name]. When convenient, he can call us on [Phone number].

Insists
Customer: You can tell me, I'll pass it on.
Assistant: Thank you for understanding, but I can only share this with him directly. Just letting him know we called is enough. Have a good day.

Never tell a third party about the debt, the amount or the reason for the call; it is risky both for data protection and for your relationship with the customer. Remove wrong numbers from the list straight away and correct the source of the record.

Dispute or complaint: handover to a person

I'm calling about your payment of [Amount]. If you've already paid, please disregard this reminder.

Dispute
Customer: That amount is wrong, I don't accept it.
Assistant: I understand, and thank you for letting us know. I'm recording your objection and putting you through to a colleague who can deal with it. Until this is resolved, we won't make reminder calls about this payment.

Complaint
Customer: I wasn't happy with the service, so I haven't paid.
Assistant: I'm sorry to hear that. I'm noting your complaint and putting you through to our [Responsible team] team now. Please stay on the line.

Team unavailable
Assistant: Nobody on the team is free right now. I've recorded your request, and our team will call you [Callback time].

Do not call
Customer: Don't call me again.
Assistant: Understood, and sorry for the trouble. I'm recording your request and passing it to our team. Goodbye.

The assistant never argues with a customer who disputes a payment or complains, and never says who is right; it records and hands over. Only use the sentence about pausing reminders if you really do pause them; for written replies to reminders, see the WhatsApp and SMS reply templates pack.

FAQ

Frequently asked questions

Do payment reminder calls in Turkey need İYS consent?

It depends. Turkish commercial messaging rules provide consent exceptions for reminders about an existing contract or debt. Adding a campaign, a discount or a new service to the call can change that assessment. Ask a legal adviser about your own script, and keep promotional content out of your reminder calls.

Can an AI assistant approve a payment plan or a discount?

We don't recommend it. In these scripts, the assistant says that a payment plan option exists, records the customer's request and the date they mention, and leaves the decision to an authorised member of staff. Decisions about money, discounts and disputes need consistency and accountability, so write that limit into the assistant's instructions.

Which phrases should a reminder call avoid?

Avoid anything that threatens, pressures, shames or creates artificial urgency. Instead of words such as 'final warning' or 'immediately', use neutral sentences such as 'it doesn't show in our records yet' or 'we wanted to remind you'. Allow on every call for the possibility that the payment has already been made, and only discuss the debt with a verified person.

Can card details be taken over the phone?

These scripts never take card details. Taking and recording card numbers and security codes by voice brings extra security obligations and risks. Direct customers to your business's secure payment page or to options such as a bank transfer, and agree the details with your payment provider and legal adviser.
