AI disclosure and call recording announcement generator

Fill in a few fields to prepare an announcement that tells callers they are speaking with an AI assistant, that the call is recorded and where to find your privacy notice. The texts are created in your browser; nothing you enter is sent anywhere.

Your business

This tool is not legal advice. The texts are a starting draft; consult a lawyer about your privacy notice obligations, including under Türkiye's personal data protection law (KVKK).

Write it the way it should be read aloud. If you leave it empty, a placeholder stays in the text.

If you leave it empty, the assistant introduces itself as an artificial intelligence assistant without a name.

Converted to a spoken form: dots, slashes and dashes are written out as words. If you leave it empty, a general reference is used.

Sets what the assistant offers to help with in the long announcement.

Are calls recorded?

If they are, the announcement says so and gives the purpose.

Can callers reach a member of your team?

If they can, the announcement mentions it; if not, it says the request will be passed on to the team.

Tone

Announcement texts

Short

After a menu, or for callers who have heard the disclosure before.

Good day, and thank you for calling [business name]. This call is being answered by an artificial intelligence assistant. This call is being recorded.

Standard

For most businesses: identity, recording, privacy notice and reaching a person.

Good day, and thank you for calling [business name]. You are speaking with an artificial intelligence assistant who will help you on this call. This call is recorded so that we can handle your request and improve the quality of our service. You can find out how we process your personal data in our privacy notice. You may ask to speak with a member of our team at any time during this call. How may I help you today?

Long

For first contact and sensitive topics: adds what the assistant helps with and an industry note.

Good day, and thank you for calling [business name]. You are speaking with an artificial intelligence assistant who will help you on this call. I can help you with appointments and general questions. This call is recorded so that we can handle your request and improve the quality of our service. You can find out how we process your personal data in our privacy notice. Please share details about your health only where they are needed for your request. You may ask to speak with a member of our team at any time during this call. How may I help you today?

Read the text and adapt it to your business before adding it to your voice agent's greeting or your phone system announcement.

What a disclosure announcement should cover

The generated texts have four parts. You can follow the same order when you write your own.

01

Who is speaking

Callers should learn at the start that they are speaking with an AI assistant. Say the business name and, if there is one, the assistant's name clearly.

02

Recording and its purpose

If the call is recorded, say so and briefly say why. Without recording, this sentence is left out.

03

Privacy notice

Tell callers where to find the notice that explains how their personal data is processed. Giving an address instead of reading the whole notice keeps the announcement short.

04

A way to reach a person

Callers should know how to speak with a member of staff. If that is not possible, say that their request will be passed on to the team.

Writing

How the texts are put together

The texts are assembled from fixed sentence patterns according to your choices in the form. No language model is involved; the same choices always give the same text. Every sentence is written to be read aloud.

Written for text to speech

  • No abbreviations: speech engines may spell them out letter by letter or misread them, so everything is written in full.
  • No digits: numbers can be read in different ways, so the patterns do not use them.
  • Names stand alone: the business and assistant names are used in patterns that read naturally with any name.
  • Short sentences: each sentence carries one piece of information, so callers do not get lost halfway through.
FAQ

Frequently asked questions

Do I have to tell callers they are talking to an AI assistant?

Obligations can differ by country, industry and the purpose of the call. Some rules, such as the European Union's AI Act, provide that people must be told when they are interacting with an AI system. Ask a lawyer about your situation. Whether or not it is required, telling callers up front that they are talking to an AI avoids misunderstandings.

What should a call recording announcement include?

An announcement usually says briefly who is speaking, that the call is recorded, why, and where to find the full privacy notice. Details such as the legal basis for processing, who the data is shared with and the caller's rights belong in the privacy notice. Our article on KVKK compliance for AI phone assistants covers this in more depth.

Which length should I use?

The standard text is a balanced starting point for most businesses. The short text works when callers have just gone through a menu or have heard the disclosure before. The long text is for first contact, sensitive topics such as health, or when you want to say up front what the assistant can help with.

Is what I enter saved anywhere?

No. The texts are created entirely in your browser; the business name, assistant name and address you enter are never sent to a server. Closing the page clears the form.
